      Ambient Driveways is committed to handling your personal information with the same care and attention we bring to every project. This policy sets out how we collect, use and protect personal data in compliance with UK GDPR and the Data Protection Act 2018 — both through our website and in the course of our day-to-day work as a driveway, patio and landscaping contractor.

      Ambient Driveways Limited (company number 03816823) is a family-run driveway, patio paving and landscaping contractor based in Bolton, Lancashire. Founded in 1985 by Anthony Milton, we serve customers across Bolton, Bury, Manchester and Lancashire. For the purposes of UK data protection law, Ambient Driveways is the data controller responsible for the personal information we collect.

      What data we hold and why

      Enquiries and quotation requests

      When you contact us about a project — by phone, email or through our website — we collect your name, contact details and details of the work you are interested in. This information is used to respond to your enquiry and arrange a free site survey and quotation.

      Site survey and property information

      When we carry out a free site visit, we record details about your property and the proposed works — including measurements, site conditions, drainage considerations, access requirements and any relevant planning notes. This information is used solely to prepare an accurate quotation and, where a project is agreed, to plan and deliver the works.

      Project and contract records

      For agreed projects, we maintain records including your name, address, the agreed specification and quotation, all relevant correspondence, invoices and any guarantee documentation. These records are kept for the duration of the applicable guarantee period and for up to 6 years thereafter, in line with standard contractual limitation periods.

      Financial and payment records

      We retain invoicing and payment records as required by HMRC for up to 7 years. Payment card details are never stored by us — all card payments are processed securely through our payment provider.

      Project photography

      We may photograph completed projects at your property for use on our website, social media and in promotional materials. Where images clearly identify a property, we will always seek your permission before publishing. If you would prefer your project not to be photographed or used in this way, please let us know and we will respect your wishes.

      Marketing communications

      Where you have agreed to receive updates from us, we may use your contact details to send information about our services and seasonal offers. You can opt out at any time by contacting us directly.

      Lawful bases for processing

      • Contract performance — to quote for, deliver and administer your driveway or landscaping project
      • Legitimate interests — to respond to enquiries, manage customer relationships, honour guarantees and promote our services
      • Legal obligation — to retain financial, contractual and waste management records as required by law
      • Consent — for marketing communications and use of project photography in promotional materials

      How long we keep data

      • Enquiry and quotation data — up to 2 years
      • Project and contract records — for the duration of any guarantee period and up to 6 years thereafter
      • Financial and invoicing records — up to 7 years (HMRC requirement)
      • Marketing preferences — until you unsubscribe or withdraw consent

      All data is securely deleted or anonymised once it is no longer needed.

      Who we share data with

      We do not sell personal data. We may share it in limited and necessary circumstances with:

      • Trusted subcontractors or specialist trades, where required to deliver your project, under appropriate arrangements
      • Materials suppliers such as Marshalls, where product registration or guarantee processing requires it
      • Our IT and website service providers, under appropriate data processing agreements
      • HMRC, where required for financial reporting
      • Environmental regulators or authorities, where required in connection with our waste carrier obligations
      • Authorities or regulators, where required by law

      We do not transfer personal data outside the UK.

      Data security

      We take appropriate steps to protect your personal data from loss, misuse or unauthorised access. Records are stored securely, access is restricted to those who need it, and physical documents are handled and disposed of carefully. In the unlikely event of a personal data breach that poses a risk to individuals, we will notify the ICO within 72 hours as required by law.

      Under UK GDPR, you have the following rights in relation to your personal data:
